Title: Operations Allrounder (12 months Contract, Part Time)

Under general direction of the Operations Supervisor VIC/TAS, the overall purpose of this position is to work proactively as a member of the operations team in providing a 24 x 7 customer focused service responsible for:
Performing operational functions effectively and efficiently, and in accordance with World Courier Global and Australian policies and procedures and regulatory requirements, which includes:
Collecting and delivering customer shipments;
Data processing job orders and organising collection and delivery of customer shipments, liaising with customers, agents, carriers and other World Courier offices;
Preparing and executing customer shipments for air export and import, utilising the company’s shipment processing systems and completing regulatory clearances;
Monitoring shipments in transit, initiating effective action as necessary to rectify issues;
Handling customer enquiries by telephone or email, providing estimates as required;
Assisting with answering inbound telephone calls as necessary.
Actively supporting other functional areas of the business as required.
Any other duties as directed by the Operations Supervisor VIC/TAS /National Operations Manager
PRIMARY DUTIES AND RESPONSIBILITIES:
Proactively monitor levels of operational supplies and packaging, communicating needs
Participate in vehicle maintenance checks when required
Complete operations check lists as required: evening check lists, refrigerator temperature recordings etc.
Undertake other operational activities as directed
Support other functional areas of the business as reasonably requested
Coordinate collections and deliveries with office controlled international agents:
Prepare and action collection and delivery notifications
Monitor collections and deliveries, update jobs, reference documents and file appropriately
Utilise appropriate company shipment and export processing systems:
Update and finalise jobs:
Enter applicable information and charges
Check customer export documents and attach to job
Complete Customs export entries
Complete international carrier’s Mawb and other associated documents
Complete company’s Declaration of Security
Complete and transmit FWB (Mawb) and FHL (Hwb) information to carrier
Post flight shipments
Ensure all shipments are checked prior to driver delivering to international carrier:
Confirm shipments comply with security and regulatory requirements
Confirm shipments are packed, labelled and marked correctly
Constantly monitor operations email:
Manage all communication responding to customers and where appropriate, immediately forwarding emails to other personnel
Utilise appropriate company shipment processing system:
Constantly monitor and manage all communication via job notes
Notify consignees of pending shipments, confirming import and delivery details
Update jobs by entering appropriate information and charges and attaching all applicable import documents
Liaise with Business Relations personnel re job notes from other WC offices requesting for an “OK to send” or “OK to bill”, responding to WC offices as instructed
Clear inbound shipments with appropriate Government regulatory agencies:
AQIS – Australian Quarantine Inspection Service
AUS Customs (EDI - automations)
Ministry of Health & TGA
Proactively coordinate daily operations work activities:
Assign drivers for collections and deliveries
Assign customer service, export and import tasks to appropriate personnel as necessary
Utilise appropriate screens in company’s shipment processing system to ensure conversancy with the requirements of each shipment
Collect and deliver customer shipments
Prepare shipments for domestic or international air transport: pack, label and mark
Collect and lodge shipments with domestic and international carriers
Organise shipment deliveries with domestic agents:
Prepare and action delivery notifications
Monitor deliveries, update jobs, reference documents and file appropriately
Assist answering inbound telephone calls
Create new job orders in company’s shipment processing systems
Prepare customer shipping documentation as required
Organise shipment collections liaising with customers and domestic agents
Acquiring and maintaining knowledge and understanding, and complying at all times with:
Company Code of Conduct and Policies;
World Courier global and AU policies and procedures relevant to the position;
Company security requirements and health & safety system:
Reporting all security breaches and incidents in a timely manner.
Taking all practical steps to ensure own safety and the safety of others while at work; reporting all accidents and incidents in a timely manner.
Ensure compliance with relevant WH&S legislation and that any issues are identified and actioned in line WCA policy
Actively promote a culture that values a safe and healthy workplace
Take reasonable care of, and cooperate with actions taken to protect;
the health and safety of both themselves and others.
report all accidents, incidents and hazards to their supervisor as soon as is practicable.
Knowledge of World Courier’s Satellite Storage Location (SSL) service operations.
Knowledge of good practices in line with the SSL service.
Qualifications: EXPERIENCE AND EDUCATIONAL REQUIREMENTS:
Significant customer service and/or operations experience.
Strong international & domestic geographic knowledge.
An understanding of Imports and Exports processes and statutory requirements.
Sound experience using the Microsoft Office Suite, including Word, Excel and Outlook.
Experience negotiating timelines and pricing with a range of stakeholders
